The short answer
An Airbnb VA costs from about £4 an hour to more than £30, because providers sell different things. When we checked in October 2026, one UK short-let VA agency advertised rates from £4 an hour, while agencies with UK-based assistants published £27 to £31 an hour. A UK employee for 20 hours a week costs about £1,222 a month. Our starting prices are at /pricing.
What drives the price
Four things decide what a short-let VA costs you: how many hours you buy, which hours of the day and week they cover, how much skill and platform experience the work needs, and who carries the work of recruiting, paying and managing them. A low hourly rate can hide the last of these.
Most operators want the same jobs off their plate: guest messages, cleaner scheduling, calendars across channels, maintenance follow-up, listings and review replies. The hours those take, and when they land, set the rest.
Hours: start from your own week
The most reliable way to size the role is to log your own time for a week. Note each guest message, cleaner chase and calendar fix, how long it took and when it arrived. That shows you the hours and when cover matters most.
Our managed VAs start at 20 hours a week, which is the standard minimum, and go up to full time at 40. The free plan at /fit suggests hours from the work you tick.
Guest messages and the time difference
Guest messaging is where cover matters most. Airbnb's own help pages measure your response rate as the share of new enquiries and reservation requests answered within 24 hours over the past 30 days, and a request left to expire counts as no response. To be a Superhost you need to respond to 90% of new messages within 24 hours. A VA keeps that number safe, but only if their hours line up with when guests write.
If your VA works from the Philippines, the clocks matter. Manila is on UTC+8 all year with no daylight saving, and UK clocks go back on 25 October 2026 and forward on 28 March 2027, so the gap is eight hours in the UK winter and seven in summer. A UK working day is the VA's afternoon and evening, which suits daytime messages and cleaner coordination. The table shows how UK hours fall in Manila, and /uk-philippines-time converts any time.
| UK time | Manila, UK winter (GMT) | Manila, UK summer (BST) |
|---|---|---|
| 9am | 5pm | 4pm |
| 1pm | 9pm | 8pm |
| 5pm | 1am | midnight |
| 9pm | 5am | 4am |
Night and weekend cover
UK evenings, when late check-ins go wrong, fall in the small hours in Manila. Cover then is possible, but it is a night shift for the VA, and one person cannot cover every hour of every day. When we checked in October 2026, one UK short-let VA agency advertised round-the-clock cover as three VAs on eight-hour shifts. Seven-day cover works the same way: it takes more than one person, or an agreed rota.
A UK hire is no simpler. GOV.UK says staff who regularly work at least three hours between 11pm and 6am are night workers, and they must not work more than an average of eight hours in 24. The practical answer is a written rule: what the VA handles late, what waits until morning, and what comes straight to you. On our managed service a role can be set later, or include weekend cover, and we agree the hours when we write the role.
Skills and tools
A VA who already knows Airbnb, Booking.com and your channel manager, whether that is Guesty, Hostaway, Uplisting or Smoobu, needs less training and usually costs more. Someone newer can do well with written procedures for each job, and is the better value where the work follows a clear pattern. Judgement calls, such as refunds, damage claims and anything off-policy, should stay with you whichever level you choose.
Access matters too. Airbnb lets you add a co-host with their own account and choose their permissions: full access, calendar and messaging, or calendar only. Only the listing owner can set up or change a co-host's payouts, and co-hosts cannot see the owner's payout method. Give your VA their own login like this wherever a platform allows it, rather than sharing yours.
The three ways to pay
A freelancer you find and engage yourself is the cheapest per hour. You run everything around the rate: advertising, testing, the contract, paying across borders, cover when they are off, and starting again if they leave.
A managed VA is one dedicated person, recruited for your portfolio, contracted and paid by the provider, supervised from the UK and replaced if it is not working. When we checked in October 2026, one UK short-let VA agency advertised rates from £4 an hour, and one UK-managed staffing firm listed £500 a month for 20 hours a week and £900 a month for 40. General UK virtual assistant agencies, with assistants based in the UK, published £27 to £31 an hour in bundles. What sits behind each price varies, so use the checklist further down before comparing.
A UK hire is your own employee, on your payroll, with the costs and duties that come with that. The next section works out what that costs for 20 hours a week.
| Freelancer, found yourself | Managed VA | UK employee | |
|---|---|---|---|
| Who recruits | You | The provider | You |
| Who pays and contracts them | You, across borders | The provider | You, through payroll |
| Cover for holiday and sickness | Yours to arrange | Depends on the provider | Yours to arrange and pay for |
| Replacement if it fails | You start again | Depends on the provider | You start again |
| Your time each week | Highest | Directing the work | Managing an employee |
What 20 hours a week costs as a UK hire
A UK employee on the National Living Wage of £12.71 an hour, for 20 hours a week, costs about £1,222 a month once employer National Insurance and the minimum pension are added. That is before recruitment, equipment, software and paying for cover while they are off. For the same sums outside short lets, our page on what a VA costs in the UK compares every route.
- Pay: £12.71 x 20 hours x 52 weeks = £13,218 a year.
- Employer National Insurance: 15% of pay above £5,000 = £1,233.
- Minimum employer pension: 3% of earnings above £6,240 = £209.
- Total: about £14,661 a year, or £1,222 a month.
- Statutory holiday is 5.6 weeks, so they work about 46.4 weeks: 928 hours, or about £15.80 for each hour actually worked.
- Many small employers can claim the Employment Allowance of up to £10,500, which may cover the National Insurance. Check with your accountant.
What the price should include
Two quotes with the same hourly rate can buy very different things. Ask each one:
| Question | Why it matters |
|---|---|
| Is it one dedicated person? | A shared pool means a different voice with your guests and nobody who learns your properties. |
| Who recruits and replaces them? | Recruiting again after a bad hire costs weeks of your time. |
| Who pays and contracts them? | If you pay a freelancer abroad directly, their contract and payments are yours to run. |
| Is holiday and sickness cover included? | Guests still message when your VA is off. |
| Is anyone checking the work? | Guest replies and cleaner confirmations need someone watching the standard every week. |
| What is the minimum term? | Monthly, three-month and longer commitments change the real cost. |
Working out whether it pays
The question is not whether a VA is cheap. It is whether the hours you get back are worth more than they cost. Here is the sum for an operator who spends 20 hours a week on messages, cleaners and calendars, using the UK hire figures above.
- Hours handed over: 20 a week, about 87 a month (20 x 52 / 12).
- Monthly cost of the option you are weighing: about £1,222 for the UK hire. For a managed VA, take the price for 20 hours a week from /pricing.
- Hours you actually get back: for the UK hire, about 77 a month once their holiday is taken, unless you pay for cover. Where cover is included in the price, it is the full 87.
- Break-even: monthly cost divided by hours you get back. For the UK hire, £1,222 / 77 = about £15.80 an hour.
- The test: if an hour of your time, spent on new units, owners or direct bookings, is worth more than the break-even figure, the VA pays. Count a protected response rate or a saved refund too, but do not build your sums on them.
Rules worth having your VA track
In Greater London, short lets of a home count as a material change of use under planning law unless the nights total 90 or fewer in a calendar year and the person providing them is liable for council tax on the home. A VA can keep a running count of nights for each London property from your booking data.
GOV.UK says the government has decided on a mandatory national registration scheme for short-term lets in England, legislated for in the Levelling-up and Regeneration Act 2023, but its guidance gives no start date yet. Separately, the furnished holiday lettings tax regime was abolished from 6 April 2025 for Income Tax and Capital Gains Tax, and from 1 April 2025 for Corporation Tax. Your VA can keep records tidy for your accountant; for the planning and tax questions themselves, take advice.
How we price a managed VA
Our managed VA is a fixed monthly price for the contracted hours, starting at 20 hours a week, with no VAT and a one-off onboarding fee that starts recruitment. It is billed monthly in arrears, in full, and includes cover for your VA's holiday and sickness: when your VA is on holiday, we tell you and arrange the cover. The only reduction is approved unpaid leave. The first three months are the initial period, and after that you can change hours with one month's notice. Starting prices are at /pricing.
The strongest applicants do a timed exercise built from your role's real work, and we interview the best of them. You then interview your shortlist and choose. Your VA works in your own accounts with their own logins, clocks in and out, and posts daily and weekly updates in the workspace, which takes no screenshots, logs no keystrokes and never uses a webcam. Every placement has reviews at 4, 8 and 12 weeks. We encourage VAs to use AI tools to work faster, and you can opt out.
The free plan at /fit shows what a VA would take off your plate and what it would cost, in about three minutes.
Common questions
How much does a UK employee cost for 20 hours a week?
A UK employee on the National Living Wage of £12.71 an hour, working 20 hours a week, costs about £1,222 a month, or £14,661 a year. That includes employer National Insurance and the minimum pension, but not recruitment, equipment, software or cover while they are off. After 5.6 weeks of statutory holiday, it works out at about £15.80 for each hour actually worked.
Can a VA in the Philippines cover UK guest messages?
Yes, for UK daytime messages, because a UK working day is the VA's afternoon and evening. Manila is on UTC+8 all year, so it is eight hours ahead in the UK winter and seven in summer. UK evenings fall in the small hours in Manila, so late cover is a night shift, and round-the-clock cover takes more than one person or an agreed rota.
Should I share my Airbnb login with a VA?
No, add your VA as a co-host with their own account instead. Airbnb lets you choose their permissions: full access, calendar and messaging, or calendar only. Only the listing owner can set up or change a co-host's payouts, and co-hosts cannot see the owner's payout method. Give your VA their own login like this wherever a platform allows it.
How do I know if an Airbnb VA will pay for itself?
Divide the monthly cost by the hours you actually get back; if an hour of your time is worth more than that figure, the VA pays. For a UK hire at 20 hours a week, that is about £1,222 divided by 77 hours, or about £15.80 an hour. Where holiday cover is included in the price, you get the full 87 hours a month back.
What should the price of an Airbnb VA include?
Ask whether it buys one dedicated person, who recruits, pays and replaces them, whether holiday and sickness cover is included, whether anyone checks the work, and what the minimum term is. Two quotes with the same hourly rate can buy very different things. Our managed VA is billed in full with holiday and sickness cover included, and the first three months are the initial period.
