What they needed
The owner needed the day-to-day finance taken off their desk: contractor invoices and payments, and knowing what each property project was costing. They also wanted a steady flow of letters to owners who might sell to them. They chose to run the finance role themselves, and to have us manage the outreach role.
What each VA does
Bookkeeper
VA Placement: we found, vetted and tested the VA, and the business employs and manages them directly.
- Manages the day-to-day finance and bookkeeping in Xero, Monday to Friday.
- Logs contractor invoices, submits them for approval and prepares the payments.
- Allocates costs to each property project and tracks refurbishment spend.
- Records rent and managing agent payments, and tracks investor repayments and interest.
Direct to vendor outreach
Managed VA Service: we recruit, contract, pay and manage the VA, and the business briefs the work. The role is 20 hours a week, Monday to Friday.
- Researches owners who match the business's buying criteria and might be interested in selling, and checks their details before they go into the database.
- Keeps the database up to date and runs the letter campaign from it, sending a first letter and then a follow-up three months later.
- Logs every response the day it arrives, and posts daily updates and a weekly report.
What changed
The finance role started on 1 April 2026 and has run for 6 months. The outreach role started on 2 July 2026 and has run for 3 months, with 106 hours logged in the workspace since 31 August 2026 and 4 procedures signed. Both are still running. Together they have freed up the owner's time and added experience the business did not have before, and they show both ways of working with us: a VA we manage, and a VA the business runs itself.
